Incompletes
Students who cannot fulfill all the work for a course due to a medical or family emergency may be assigned an Incomplete only if arrangements are made with the instructor. An incomplete must be made up within one calendar year immediately following the end of the term in which it was assigned. Please see the University policy on incompletes at: info.sjsu.edu/web-dbgen/narr/catalog/rec-1776.html. Students with three incompletes will not be allowed to register for any more classes until they have fewer than three incompletes.
To obtain an incomplete:
- It is the responsibility of the student to bring pertinent information to the instructor regarding why they cannot fulfill all the work during the current semester and to reach agreement on the means by which the remaining course requirements will be satisfied. If the instructor agrees, the instructor will enter an "I" grade for that course for that semester.
- It is a student's responsibility to follow up with the instructor in terms of removing an Incomplete. The instructor will assign a final grade when the work agreed upon has been completed and evaluated. The instructor will then submit a "Change of Grade" form to the University for processing.
If the student is unable to complete the course within one year, the student must fill out a petition to extend the time limit beyond one year. For a maximum one-year extension of time to clear incompletes, go to the Office of the Registrar "Academic Forms" web page at www.sjsu.edu/registrar/forms/ and locate the "Incomplete Extension" petition form. The student fills out this form, signs it (leaving blank any areas for other required signatures) and submits the form to Scharlee Phillips by fax, mail or walk-in (see below) prior to the end of the semester the incomplete was due to be cleared. Scharlee will obtain the necessary signatures and forward the time extension paperwork to the proper department. Note: the student does not send this paperwork directly to the Student Services Center. Send the form to:
